ACCESS Controlled-access facility

Entry is limited to authorized personnel using individual access credentials.

ACCOUNTABILITY Asset-to-drive mapping

Equipment and installed storage media are recorded as connected audit entries.

TRACEABILITY Tracked through destruction

Each recorded drive remains accounted for until its final physical destruction.

A controlled security sequence

Security is a process, not a promise.

Every handoff has a purpose. Every data-bearing device is documented, protected and moved through a defined path before it reaches the shredder.

01
FACILITY CONTROL

Restricted intake

Equipment enters a locked facility where access is limited to authorized personnel using individual credentials.

Custody begins
02
IT AUDIT

Every asset documented

The IT team records each device, then identifies and links every installed hard drive or other storage medium.

Serials matched
03
SECURE STAGING

Locked storage

Audited media is placed in a locked storage cabinet and remains secured until an authorized employee begins destruction.

Media secured
04
FINAL DESTRUCTION

Physical shredding

The drive is placed into the industrial shredder and physically reduced so the data-bearing media cannot be reused.

Final status recorded
Security you can see

The controls are real. The outcome is physical.

A secure process should be visible, understandable and documented. Each visual reinforces a specific control within the chain of custody.

Process imagery / controlled handling
Device-level accountability

Not just a receipt. A complete audit trail.

If a drive arrives inside a laptop, desktop or server, eGreen documents both the parent asset and the storage device installed inside it.

  • Asset tag when available
  • Drive make, model and serial number

Every drive is accounted for. Every client receives documentation.

Data exists in more than a hard drive

If it stores data, it enters the audit.

The same controlled documentation process applies whether media arrives separately or installed inside business technology.

MAGNETIC MEDIA

Hard drives

Standalone drives and drives removed from desktops, laptops and servers.

SOLID STATE

SSDs & flash media

Solid-state drives, USB devices and other compact storage media.

ENDPOINT ASSETS

Computers & laptops

Parent asset details are linked directly to the installed storage device.

ENTERPRISE SYSTEMS

Servers & arrays

Multiple internal drives can be recorded against the same host system.

EMBEDDED STORAGE

Mobile devices

Phones, tablets and devices containing non-removable memory.

ARCHIVE MEDIA

Backup media

Tapes and other media that may contain historical business information.

Security begins at the door

A controlled-access facility built around accountability.

This is not an unrestricted public processing area. Entry is controlled, employees use individual access credentials and sensitive media stays inside defined secure areas.

Clear answers before the handoff

What clients need to know.

Every project begins with a clear understanding of the equipment, location and required handling.

What information appears in the audit?

Records can include the asset make, model, serial number and asset tag, along with the make, model and serial number of each identified storage device.

What if the drive is inside a laptop or server?

The parent device is documented first. The installed storage media is then identified and linked to that device in the audit record.

Where are drives kept before shredding?

After auditing, media is placed in locked storage within the controlled-access facility until an authorized employee begins physical destruction.

Does the client receive documentation?

Yes. The client receives a copy of the completed asset and data-bearing media audit for their records.

Secure destruction starts with a controlled handoff

Let's account for every device and destroy every drive.
